Postgraduate Policy & Guidelines Committee

Mandate

The Postgraduate Policy and Guideline Committee works to regularly review, amend and approve new and existing policies and guidelines to support the mandate for postgraduate education in the Department of Medicine, and ensure their dissemination. 

Terms of Reference

  • To ensure that existing Department of Medicine postgraduate education policies and guidelines are relevant, accurate, and up-to-date.
  • To develop new Department of Medicine postgraduate education policies and guidelines as required.
  • To review and amend standing Department of Medicine postgraduate education policies and guidelines, and identify policies and/or guidelines that need to be combined or terminated.

Decision Making / Responsibility

The committee will be collaborative and consensus-based. Documents will be distributed electronically on the first week of every month. Each member will be expected to provide their recommendations, edits and/or concerns to the committee within two weeks. In consultation with the committee chair, the committee coordinator will review all recommendations to create a second draft. The second draft will be distributed for review. Members will be given one week to review and provide their recommendations, edits and/or concerns to the committee.

Additional Drafts

The process stipulated above will continue until consensus is reached. Ideally the process will not take longer than three to four weeks per document.

Consensus:

Once consensus is reached, the policy and/or guideline be finalized, presented to the Residency Program Directors’ Committee, Fellowship Directors’ Committee (when applicable) and uploaded on the Department of Medicine’s website and/or portal. For the purposes of this committee, consensus will be reached when all members can support the policy and/or guideline even if it is not the esteemed choice of every individual member.

Inventory

In consultation with the committee chair, the Department of Medicine’s project coordinator will inventory and prioritize policies and guidelines that need to be reviewed, amended and/or finalized by the committee.

Review of Terms

The terms of reference for the Postgraduate Policy and Guideline Committee will be reviewed every two years or as deemed necessary by the chair of the committee. 

Meeting Schedule

The Policy and Guideline Committee will communicate electronically on a monthly basis, as stipulated in the decision making/responsibility section above. Members may be required to meet one to two times per year; however, most work will be done remotely. If physical meetings are required, meeting dates and times will be arranged at least one month in advance.

Membership term will be for one to two academic years, unless otherwise specified. Program directors will apply for membership and nominate residents, as new members are required.
